A fantastic opportunity awaits a detailed oriented and solution-focused individual to join PetroChina International (Netherlands) Company B.V. as an Office Administrator in our rapidly-growing Rotterdam (Netherlands) office.
 
Reporting directly to the Deputy GM of Integrative the Office Administrator will be vital in providing administrative support to our small team including managing general office, HR and financial related tasks too to ensure the smooth and efficient operation of the office. Day to day duties you will be able to utilise your organisational and technical skills through a variety of cross-functional duties. This includes handling stock and payment reconciliations and managing the process of invoicing and receiving payments, efficiently answering and directing telephone calls, addressing queries through both phone and email communication, when needed supporting reception with warmly greeting visitors. 
 
Additionally, you will be operating a variety of software to maintain office systems, booking rooms, conference facilities as well as producing correspondence and documents I.e. presentations, spreadsheets to support the CEO and Deputy General Manager. Therefore, you will be highly organised, possess excellent communication skills and be able to handle multiple priorities effectively.

Key Responsibilities

  • Proficiently using a variety of software applications, including Microsoft Word, Outlook, PowerPoint, Excel, and Access, to create correspondence and documents, manage presentations, and maintain records, spreadsheets, and databases.
  • Supporting a comprehensive personal assistant (PA) to senior management, including coordinating tasks related to housing and lettings, etc. 
  • Managing all aspects of business travel, including overseeing the travel approval process and booking flights, accommodations, transportation, and drivers as required.
  • Maintaining office systems and procedures, including scheduling and managing meeting rooms and conference facilities.
  • Acting as a liaison between internal departments and external stakeholders to ensure effective communication and coordination.
  • Procuring and maintaining supplies of office stationery and equipment, ensuring availability and cost-efficiency.
  • Managing the procurement of office groceries and ensuring supplies are regularly replenished to meet staff needs.
  • Handling office renovation and minor repair tasks in coordination with facility service providers.
  • Undertake ad hoc assignments and administrative support tasks as requested by management and departmental leaders.
  • Collaborate with the office teams in London and Beijing 

What we’re looking for / Skills that will help you in the role

  • Ideally have prior administration experience in a professional office environment (Trading, Utilities, Banking or Corporate environments are advantageous).
  • Proficient in Microsoft Office and Suite or equivalent programmes, with experience of using other databases/CRMs ideally. 
  • Comfortable multi-tasking and prioritising tasks with minimal guidance after extensive training is provided.
  • Ability to work independently in handling varied and complex operational issues. 
  • Communication– Excellent interpersonal skills and able to clearly presents thoughts and ideas, both verbally and in writing.
  • Organisation – Exhibits a highly organised approach to detailed work and maintains accurate and effective files.
  • Multi-Tasking Abilities – a can do and proactive attitude in managing multiple, time sensitive tasks concurrently is essential.
  • Analytical/Problem Solving Skills – Thinks and manages problems and tasks through to completion. 
  • Detail-oriented with a strong focus on accuracy and compliance.
Please note: This is an initial full-time, 1 year fixed-term contract with the intention to be made permanent. Please note this is a 100% office-based role, so ideally, you’ll be able to commute easily to our Rotterdam, Netherlands office.
